Unscheduled appointments appear in the right-hand sidebar of your scheduler.
They don't have a locked-in date. Instead they have an approximated estimated date for when you may want to lock in a new appointment timeslot.

They can be dragged onto the calendar once you are ready to assign your appointment to a specific timeslot.

The unscheduled appointments are ordered from closest to the current date you're looking at on the calendar.

When you create an unscheduled appointment, you are giving it an estimated date which you can use for reference.

In the sidebar, unscheduled appointments will appear as three different colours.

  • RED: The estimated date has passed

  • ORANGE: The estimated date is approaching and should be actioned

  • BLACK: The estimated date is still in the future and not approaching yet

If the unscheduled appointment has a little green "message" icon, it means the client has been notified to contact you and book in an appointment timeslot.

Creating Unscheduled Appointments

1: Click "Create" on the scheduler

2: Fill in any necessary details about the appointment, including an appointment type, client details and assigned staff

3: Change the Status to "Unscheduled"

4: Update the estimated date of the appointment to some time close to when you might like to book this appointment in

5: Click "Save"

The unscheduled appointment will now appear in your unscheduled sidebar

Automatic Unscheduled Reminders

Clients

You can automatically send a reminder to the client and prompt them to contact you to book in a timeslot for this appointment.

Make sure automatic client reminders are enabled in Settings > System Defaults > Calendar tab.

"Enable automatic unscheduled appointment reminders" checkbox.

When creating the appointment, any reminders you specify for the client will then automatically trigger for the unscheduled appointment.

Once the appointment status becomes unconfirmed/scheduled, these same reminders will re-trigger at the specified time to remind the client of their new timeslot.

Example:

Reminder: By Email, 1 day beforehand.

The unscheduled reminder will send 1 day before the estimated date.

Once the appointment is scheduled into a timeslot, this same reminder will re-trigger 1 day before the selected date and timeslot.

Staff

You can optionally receive a staff reminder to prompt you to book in the appointment directly with the customer.

Click on the "Staff" panel when creating an appointment.

At the bottom of this section, there is an "Unscheduled Reminders" area.

You can change the time before the estimated date from which you want to receive a notification, or remove the reminder altogether.
