Managing your system templates

Manage templates which are sent as an email or SMS to your clients

System Templates contain the email and SMS content for messages which are sent to your clients.

They can be accessed in Settings > Templates.


Types of Templates

Each of the templates correspond with the type of communication which can be sent to your client.

Invoice

  • Invoice Notification: Sent to the client when an invoice is unpaid

  • Invoice Receipt Notification: Sent when an invoice has been partially or fully paid

  • Outstanding Invoice Notification: Sent when an invoice payment reminder is actioned and the invoice due date has not passed

  • Overdue Invoice Notification: Sent to the client when the invoice due date has passed and the invoice is still unpaid

Quotation

  • Quotation Notification: Sent to the client when a quotation is published

Report

  • Report Notification: Sent to the client when a report is published

Appointment

Each appointment notification corresponds with the status of the appointment

  • Appointment Unscheduled Notification

  • Appointment Recommendation Notification (Unconfirmed)

  • Appointment Scheduled Notification

  • Appointment Departed Notification

  • Appointment In Progress Notification

  • Appointment Complete Notification

  • Appointment Cancelled Notification

Editing a template

When you edit a template, you can modify the following fields:

  • Subject line displayed on the sent email

  • Email contents

  • SMS contents

These fields can contain variables for binding dynamic content onto your template.

For example, if I add the "Client Name" variable, the client's name will be printed onto the message.

Prefixed Variables

Variables which contain the "(Prefixed)" label means that the variable will render in a friendly way as part of a sentence only if a value for the variable exists.

For example, the "Appointment Address (prefixed)" variable will render as
" at [AppointmentAddress]" so that you can create sentences such as
"The appointment has been scheduled for [AppointmentDate] at [AppointmentAddress]".

if an address has not been specified for that specific appointment, the sentence will render as
"The appointment has been scheduled for [AppointmentDate]".

Collecting Client Reviews

Each template can also choose to display your "Client Review" prompt within the message.

You can set up your review prompt in Settings > Style & Branding > Client Reviews.

Previewing a Template

The "Preview" box within the editor allows you to see how your email or SMS will be presented to your clients.
